Why Are Meeting Rooms Important?

Meeting rooms are the place of an organization where new ideas are initiated and ways to implement them are suggested. All this boils down to one thing- profit for every party involved.

In order for a meeting to be termed successful, everyone involved must come to a decision that proves useful for all of them, or in other words- to seal the deal!

Of course, one would think that what’s important is for both parties to come to a mutual understanding of things and yes, many a times meetings are held in places like cafeterias and restaurants and end up being really successful. However, does that mean that meeting rooms play no role at all in leading to a successful meeting? The next paragraph shall answer your question.

Think of a scenario in which an individual owns a fairly new real estate company called “A”. The company is doing well, but one always strives to do better which is why the owner decides to take a step ahead by approaching an already very well established firm (let’s call it B), in order to build properties in collaboration. Let’s say that this company has been in this field since 5 years and its USPs are apartments that are “futuristic” with a completely contemporary look and facilities that are a step ahead from any other real estate company. The reason why they’d like to collaborate with company B is because of its name in the market since they’ve been in the business for over 50 years and have rather basic apartments to offer, but are still doing fairly well.

Let’s take a look at the benefits that each of them may get after their collaboration which has led both to agree to a meeting, initiated by the owner of company A.

Company A- The one thing that company A is looking for is to build a name in the market by bringing a well-renowned firm into the game.

Company B- Even though they’re doing well, the benefit that they will receive is a different kind of property to showcase on their record.

Out of the two, we can conclude that company A “needs” to close a deal with company B while company “B” may just be considering it.

For something as big as real estate, hosting a meeting merely over a cup of coffee in a cafeteria isn’t plausible. One needs to prepare well for the same while having to showcase his/her ideas and plans through a well-made presentation. Also, there need to be a ton of documents ready and various heads of departments from both companies may need to be present.  In order for that to happen, a good meeting room is a must that portrays professionalism in its true sense.

Now, let’s talk about what should be taken into consideration while setting up a meeting room:

Lighting: The lighting of a meeting room should be such that doesn’t make the people present feel sleepy. Very often, in scenarios like these, people tend to start feeling drowsy and lose concentration and attention to what’s being discussed if the lighting isn’t right. If natural sunlight isn’t an option, white lights may be the way to go since they are the closest to natural sunlight and also show everything in its natural form and colour. Yellow or dim lights are used in places where people come to relax or wind up and a meeting room isn’t exactly a place for that.

Furniture: The furniture places should be human friendly which means that it should be ergonomically correct, to maintain a balanced posture. Apart from that, the number of chairs, the size of the conference table, etc. should be considered and calculated according to how often meetings are conducted and the average number of people present per meeting.

Design: The design must be professional, but one can always choose to showcase his/her ideas through a meeting rooms design. However, a basic wooden flooring with white walls can never go wrong and in fact can go with any extra designs or interiors such as paintings or single wall colors.

Electronic Equipment: It is the digital age which is why most presentations these days are also digital. One must always make sure to arrange for a good internet connection and equipment that may help display ideas. LED screens, Wi-Fi connections, phones, air conditioners, etc. must all be part of a meeting room.
